Privacy Policy

1. Who we are

AdiBeam Solutions Pvt Ltd (“AdiBeam”, “we”, “us”) is an IT services and consulting firm registered in India, with its office at A-145, Sector 46, Noida, Uttar Pradesh, India. We provide enterprise AI consulting, implementation, training and managed services to organisations.

This policy explains what personal data we collect through adibeam.com and in the course of providing our services, why we collect it, how long we keep it, and the rights you have over it. For data collected through this website and through our client engagements, AdiBeam is the Data Fiduciary (under India’s Digital Personal Data Protection Act, 2023) and the Data Controller (where the EU or UK GDPR applies).

2. What we collect, and why

We collect only what we need. There is no account system on this website, and we do not sell personal data to anyone.

Information you give us

When you submit the enquiry form on our contact page, we collect your first name, last name, work email address, organisation name, your selected area of interest, and the message you write. We use this solely to respond to your enquiry and, if an engagement follows, to manage our relationship with you. The lawful basis is your consent, given by submitting the form; where an engagement follows, our continued processing is necessary to perform our contract with you.

If you email, call, or message us on WhatsApp, we hold that correspondence and the contact details it contains for the same purposes.

Information collected automatically when you submit the form

Our enquiry form carries anti-spam protections, and these record technical data with each submission: your IP address, browser user-agent string, the time taken to complete the form, and a reCAPTCHA risk score. We use this only to detect and block automated abuse, and to keep an auditable record of genuine enquiries. It is retained in access-restricted server logs. Our lawful basis is our legitimate interest in protecting our systems from spam and abuse.

We also store a one-way hash of your IP address for up to one hour to enforce a limit on how many submissions can be sent from one connection. The hash cannot be reversed to recover your IP address.

Information collected by our website

If you consent to analytics cookies, Google Analytics records how you use the site — pages viewed, approximate location derived from IP address, device and browser type, and referring source. If you decline, or ignore the banner, no analytics cookies are set and no analytics data is collected. See our Cookie Policy for the detail.

Our web host records standard server logs, including IP addresses, for security and diagnostics.

Information we receive during an engagement

Delivering an AI implementation may give us access to systems containing personal data about your employees, customers or suppliers. In that situation you remain the Data Fiduciary/Controller and we act as a Data Processor on your documented instructions, under the terms of the engagement contract signed between us. We do not use client data for any purpose of our own, we do not use it to train AI models, and we return or delete it at the end of the engagement as that contract provides.

3. Third parties we share data with

We share personal data only with service providers who help us operate, and only as far as needed. Each processes data under its own terms and its own privacy policy.

• Hostinger — hosts this website and our email; holds enquiry data and server logs. Servers may be located outside India.
• Google (reCAPTCHA) — the enquiry form is protected by reCAPTCHA v3, which collects device and behavioural signals to distinguish people from bots. Use of reCAPTCHA is subject to Google’s Privacy Policy and Terms of Service.
• Google (Analytics) — only if you accept analytics cookies.
• Google (Fonts) — our pages load typefaces from Google’s font service, which means your IP address is disclosed to Google when a page loads.
• Meta (WhatsApp) — only if you choose to start a WhatsApp conversation with us.

We may also disclose personal data where we are required to by law, a court, or a regulator, or to establish or defend a legal claim.

Some of these providers process data outside India. Where the EU or UK GDPR applies to a transfer, we rely on the European Commission’s adequacy decisions or on Standard Contractual Clauses. Under the DPDP Act, we do not transfer personal data to any territory restricted by the Central Government.

4. How long we keep it

• Enquiries that do not become engagements — up to 24 months from your last contact with us, then deleted.
• Client records — for the life of the engagement and for as long afterwards as Indian tax, accounting and limitation law requires.
• Anti-spam server logs — up to 12 months.
• Rate-limiting IP hashes — one hour.
• Analytics data — retained by Google for the period configured in our Google Analytics property.

Where we no longer need personal data for the purpose it was collected for, and no legal duty requires us to keep it, we erase it.

5. Your rights

Under the Digital Personal Data Protection Act, 2023, if you are in India you have the right to:

• obtain confirmation of what personal data of yours we process, and a summary of it;
• have inaccurate or incomplete data corrected, updated or completed;
• have your data erased, where we no longer need it and no law requires us to keep it;
• withdraw your consent at any time, as easily as you gave it — withdrawal does not affect processing already carried out;
• nominate another individual to exercise these rights on your behalf if you die or become incapacitated;
• a readily available means of grievance redressal, described below.

If the EU or UK GDPR applies to you, you additionally have rights of access, rectification, erasure, restriction, portability and objection, and the right to complain to your local supervisory authority.

6. Grievance redressal

We acknowledge complaints promptly and aim to resolve them within 30 days. If you remain dissatisfied, you may complain to the Data Protection Board of India.

7. Security

We apply access controls, encryption in transit (HTTPS across the whole site), restricted server directories for enquiry logs, and the principle of least privilege for staff access. No system is perfectly secure, and we do not claim otherwise. Where a personal data breach occurs, we will notify the Data Protection Board of India and affected individuals as required by law.

8. Children

This website and our services are directed at businesses, not at children. We do not knowingly collect personal data of anyone under 18. If you believe a child has provided us personal data, contact us and we will delete it.

9. Changes to this policy

We may update this policy as our services or the law change. The date at the top shows when it was last revised. Material changes will be flagged on this page.
